Cambridge Healthtech Institute (CHI) is seeking a highly organized, professional and detail-oriented candidate for the mid-level administrative position of CLIENT SERVICES SPECIALIST. This administrative support position is responsible for all the post-sale follow-up activities in the Company’s sponsorship and exhibits sales group.

Duties involve constant contact with sponsors, exhibitors and vendors; tracking and fulfillment of all aspects of sponsorship and exhibit contracts; and doing so with an almost obsessive attention to detail! There is also daily interaction with the sales staff and all other departments.

This is a great job for someone who enjoys doing high-level customer service and providing administrative support, working with teams, coordinating, proofreading and organizing! Plus, there is an opportunity to travel to our conferences. 

Each Client Services Specialist works on multiple events simultaneously throughout the year, so having excellent project management skills is a must!

We are seeking someone who wants to be part of a key, behind-the-scenes team; who lives to pore over minute details, tackle overlapping projects, juggle competing deadlines, delve into heavy proofreading, and undertake constant re-prioritizing; and who can deftly handle the needs of several people at once. Each of CHI’s conferences takes roughly eleven months to bring from concept to reality. During those months, conference production assistants work closely with members of the conference team to pull everything together—often in the face of overlapping and conflicting deadlines. While many of the tasks we do are administrative in nature, this is not your typical admin job. We support projects, rather than people, and your projects are yours to own. Tasks are assigned by your manager, but direction for those tasks can come from any member of the conference team. It can be a lot to juggle, but it is never boring.

Our conference production assistant group is responsible for proofing all of our program information before it is released to the public, including the conference announcement and call for papers, as well as conference brochures and program guides. We are the eagle eyes of CHI—proof reading everything for spelling, grammar, formatting and consistency, with short turnarounds and high standards.

We also work extensively with our conference speakers—senior scientists from pharma, biotech, academia and government, with busy schedules and lots of questions. We confirm the details of their participation at conferences and communicate deadlines for materials needed…and then follow up…repeatedly…to make sure we have the materials we need, when we need them.

Our conference production assistant group also manages all of the material that the attendees receive when they arrive at a conference—program guides, evaluations and flyers. We coordinate internally to get up-to-date content from all members of the conference team, then compile, edit, format and get approvals, all while working against a hard print deadline.

Because of the volume of conferences that CHI produces over the course of a year, organization and prioritization are a MUST to balance a workload of multiple projects at various stages at all times.

Producers utilize a journalistic approach to build relationships in industry and develop and manage a dynamic portfolio of conference topics. They are top-notch communicators with exceptional relationship-management skills and the ability to effectively attract industry thought leaders to participate/speak at our events.

Activities include: literary review of novel technologies and innovative approaches to care delivery; analysis of the industry for economic, scientific, technical and regulatory trends; extensive phone interviews and email communication regarding source material, topic validation, content development and thought leader recruitment; and use of the knowledge gained to create a compelling conference program.


  • Conference production experience is highly desirable
  • Must be a self-starter and strong project manager who is undaunted by constant multi-tasking and overlapping deadlines.
  • Travel (approx. 10 trips annually) is required.

Cambridge Healthtech Institute (CHI) is seeking a MARKETING ASSISTANT with 2-4 years of experience in email marketing, social media marketing, ad management, lead generation marketing, website maintenance and ad tracking. The Marketing Assistant job includes outbound marketing and client support, and will be managing multiple projects simultaneously.

  • Create and execute on promotional email campaigns, newsletters and news bulletins
  • Use social media (Twitter, Facebook, Google+ and LinkedIn) as promotional outlets for product lines, and drive growth of our social media outlets
  • Manage the websites, including ad tracking, copy changes, creation of new pages and daily maintenance.
  • Manage client lead generation programs
  • Work directly with advertising and lead generation clients
  • Work with our graphics department to create promotional banners
  • Work with our web department on larger web site initiatives
  • Create and build lists from our database for email promotions
  • Provide weekly reporting to the team members and outside clients
  • Work closely with sales reps to make sure all client deliverables are met
  • Establish and fulfill outside marketing partnerships
  • Draft and execute press releases on product lines

The Marketing Assistant position requires a strategic thinker in his/her outbound marketing efforts, always looking to cross-promote other product lines. We’re also looking for:

  • 2-4 years of experience in email marketing, social media marketing, website maintenance, lead gen marketing, advertising management and tracking
  • Prior ad manager or web specialist experience, using an ad management and ad serving solution, e.g. Google tagging, DART/DFP
  • Project Specialist with exceptional organizational and communication skills
  • 4-year degree in Marketing or related field
  • Prior experience with html email programs (Dreamweaver) preferred.
